Microsoft Outlook can be used with many business email services. The correct setup depends on how your mailbox is hosted. Do not assume that your website hosting and your email hosting use the same credentials or settings.
What you need
- Your full business email address.
- Your current mailbox password or your organization’s approved sign-in method.
- Access to any required multi-factor authentication.
- If automatic setup fails, the incoming and outgoing mail settings provided by your email administrator or support team.
Add your account to Outlook
- Open Outlook on your computer.
- Locate the Add Account option. Depending on your Outlook version, it may appear under File, Settings, or Accounts.
- Enter your full business email address.
- Follow the automatic sign-in or account-discovery prompts if Outlook recognizes your email service.
- If Outlook asks you to choose an account type, select the type specified by your email provider. For traditional mailboxes this is often IMAP; some business accounts use an Exchange or Microsoft sign-in.
- If manual setup is required, enter the precise incoming and outgoing server names, ports, encryption methods, and authentication settings provided for your mailbox. Do not guess these details.
- Complete verification, save the account, and allow the mailbox to synchronize.
Test sending and receiving
- Send a short message from Outlook to another email address you control.
- Check that the message appears in Sent Items.
- Reply from the second address and confirm that the reply arrives in Outlook.
If it does not work
- Check the spelling of the email address and whether the password has recently changed.
- Confirm that you selected the correct account type.
- Try signing in to your organization’s webmail to determine whether the mailbox itself is working.
- Record any error message before making additional changes.
